"Can't we just use ChatGPT?" is the first question in almost every firm that starts thinking about AI. It's a fair question. General assistants are remarkable. The real question is which jobs they suit, and which they don't.
What General Chatbots Do Brilliantly
- Drafting and rewriting: emails, newsletters, explanations of a rule change for clients.
- Brainstorming and outlining.
- Research on public information, with appropriate checking.
- Learning: "explain this standard like I'm a new hire".
For this kind of work, a general assistant is fast, flexible and inexpensive.
Where Firms Hit Limits
Client work is different in three ways:
- It depends on your data. The answer to "which 1099s don't match a deposit?" lives in your ledger and your client folders, not on the internet. Copying files into a chat window works once; it doesn't scale, and it scatters client data.
- It has to be traceable. A number in a workpaper or a date in a matter summary needs a source you can check. If an answer can't show where it came from, someone has to redo the work to verify it.
- It has consequences. Emails to clients, entries in the books and filings carry your name. Tools that act without approval move that risk onto you.
What a Private AI Workspace Adds
- Connections, not copies: the firm's tools (QuickBooks, Xero, Gmail, Outlook, Drive) connect through each app's own sign-in, per person.
- Cited answers: every figure or date links back to the page or record it came from.
- Agents for firm work: tax prep, month-end close, collections and matter summaries, built around review.
- Approval by default: drafts wait; nothing goes to a client until a person approves it.
A Simple Rule for Your AI Policy
General assistants for general work. The private workspace for anything involving client records.
